What this policy covers
This policy explains what personal data we may collect through this website and our business-messaging channels, how we use it, who we share it with, and the choices and rights you have. It does not cover the separate services of the licensed partners we may introduce you to — they handle your data under their own policies.
Information we collect
- Enquiry & contact data — your name, email, phone number and the contents of any message, when you email us, message us on WhatsApp, or otherwise get in touch.
- Business data you choose to share — if you engage us, you may provide structured exports of your own client data for analysis. This is processed only on your instruction and under a separate engagement, used solely to perform the agreed work, and not repurposed.
- Technical logs — limited server logs (such as IP address, browser type and pages requested) kept for security and to keep the site running.
- Cookies & analytics — this website uses no advertising cookies, no analytics, and no third-party trackers.
How we use information
- To respond to your enquiry and provide the information or service you ask for;
- To perform agreed work — analysing data you provide and making introductions on your instruction;
- To operate, secure and improve the website and prevent abuse;
- To meet legal, regulatory and record-keeping obligations.
WhatsApp and business messaging
If you opt in — for example by messaging us or submitting an enquiry — we may reply using the WhatsApp Business Platform (provided by Meta) about your enquiry and related support. You can reply STOP at any time to stop receiving messages. We do not send promotional WhatsApp messages unless you have separately and clearly opted in.
How we share information
We do not sell your personal data, and we do not share it for third-party advertising.
- Licensed partners — only when you ask to be introduced, or as part of an introduction you have agreed to, and only the information needed to make that introduction;
- Service providers — trusted providers that help us operate (for example, our hosting provider and Meta’s WhatsApp Business Platform), under appropriate safeguards;
- Legal — where required by law, regulation or a valid legal request.
Storage and retention
We store personal data securely and keep it only as long as needed for the purpose it was collected, or as required by law. Enquiry and contact data is retained while we are in contact with you and for a reasonable period afterwards. Business data you provide for analysis is retained for the duration of the engagement and then deleted or returned, unless we must keep records for legal reasons.
Cross-border processing
We operate across Hong Kong, China, New Zealand and Australia. Where personal data is transferred between these markets — for example to make an introduction you have agreed to — we take steps to keep it protected and limited to what is necessary.
Your rights
Under Hong Kong’s Personal Data (Privacy) Ordinance, you may request access to, or correction of, your personal data, ask us to delete it, and opt out of further messages. To exercise any of these, email support@ellabook.cloud. We aim to respond within 30 days.
Security
We use encryption in transit and at rest, least-privilege access controls, and other measures appropriate to the data we hold. No system is perfectly secure, but we take protecting your data seriously.

We may update this policy from time to time. The current version is always available at ellabook.cloud/privacy, with the date it was last updated shown above.
